AI Phone System for Mental Health Practices

Your phones, answered. Not routed to voicemail.

Keep your number and the phone system you have. Forward calls to Stable and every one is answered, in English or Spanish: new patients booked into your EHR, billing questions sent to billing, a prescriber's patients sent to the prescriber, and urgent calls escalated.

  • Keep your number
  • No phone tree
  • Every call recorded

Demonstration: Stable answers a call to a therapy practice that used to reach a phone menu, books a new patient, transfers a billing question to the practice's billing contact with a summary, and takes a message for a prescriber after hours.

Why calls still get lost

A phone system connects calls. Someone still has to answer them.

Most therapy and psychiatry practices already have a decent phone system: a VoIP line, a few extensions, a menu, and voicemail. None of that answers the phone. When the front desk is on another call, at lunch, or gone for the day, the caller gets a menu and then a mailbox, and a person looking for mental health care rarely leaves a message. They call the next name on the list.

The menu is the first drop-off

A caller unsure whether they are a new patient, a scheduling question, or something else often hangs up at the menu. Stable replaces the menu with a question: what can I help with?

Voicemail is the second

After hours, during sessions, and at peak times, calls become messages that someone returns tomorrow. Stable answers and finishes the request instead.

Extensions do not know the caller

A ring group cannot tell a billing question from a referral. Stable routes by what the caller actually says, to the person you named for that kind of call.

How it fits your phones

Three steps, no new phone system.

If your line can forward calls, Stable can answer them. Your number stays on your website, your cards, and every directory listing.

1. Forward your existing number

Send every call to Stable, only after-hours calls, or only overflow when your team is busy. Many practices start with after hours and overflow, then forward everything once they have heard the calls.

2. Tell Stable who handles what

Name the person or outside contact for each kind of call: billing company, intake coordinator, office manager, on-call clinician. For each, choose a warm transfer with a summary, a cold transfer, or a message.

3. Every call answered and on the record

New patients are booked into your EHR, existing patients rescheduled, and every call leaves a summary in the EHR, a transcript, and a recording.

Compared

Four ways a practice phone line can work.

Most practices use one of the first three. Here is how each handles the calls that matter.

Line plus voicemail Phone tree (IVR) menu Answering service Stable on your line
During sessions Voicemail Menu, then voicemail Message Answered and handled
After hours Voicemail Voicemail Message, callback next day Answered and booked
Routing None Caller picks an option Message sorted later By what the caller says
Spanish-speaking callers Voicemail A separate branch Varies Handled in Spanish
Caller in crisis Voicemail Same menu Depends on training Recognized and escalated
What you can review Voicemails Call logs Messages Summary, transcript, recording

Referral from a provider or school Intake coordinator Warm transfer
Medication question The prescriber's team Message, never advice
Records request Office manager Message

Resources

Practice phone systems, answered.

Do we need a new phone system to use an AI receptionist?

No. Stable works with the phone system you have. You keep your number and forward calls to Stable, so your VoIP provider, extensions, and desk phones stay as they are.

Can it replace our phone tree?

Yes. Instead of pressing a number, callers say what they need and Stable handles it or routes them to the right person. Most practices remove the menu; some keep it during business hours and forward only after-hours and overflow calls.

Can calls still ring our front desk first?

Yes. Forward only overflow calls, so your staff answer when they are free and Stable answers when they are busy, or forward only after hours.

How does Stable route a call to a person?

You name who handles each kind of call, including outside contacts like a billing company or on-call clinician, and choose a warm transfer with a summary, a cold transfer, or a message for each.

What happens to voicemail?

Callers stop reaching it, because every call is answered. Messages that do need a person arrive as written summaries in your EHR rather than recordings to play back.

Does it answer in Spanish?

Yes. Stable handles calls in English and Spanish, including booking and insurance questions, with other languages available when your patients need them.

How is this different from an answering service?

An answering service takes messages your staff return later. Stable books, reschedules, answers coverage questions, and transfers live, and it is priced as software rather than per minute. See AI vs. answering services and AI receptionists compared.
